To show the content and properties of an asset, open it in an asset page. The various tabs show asset details and content. 


Introduction

censhare displays asset information in various places. Search and filter lists show selected details for an asset entry on search pages. The central location, however, for displaying asset details and content such as images or layouts is the asset page. These can in turn be configured to suit your needs depending on the asset type in question. This configuration can also be system-wide. In addition, users have the right to configure their own workspaces. A workspace consists of all the settings a user has specified.

Asset pages are organized in tabs. Each tab contains widgets that display asset details such as properties, relations, previews, charts, or external data. Tables or Kanban boards show more complex structures and details. Assets with editable content contain an editor on one of the tabs.

Asset pages in the standard workspace contain an Overview tab where you find the core properties of an asset. The Details tab shows more asset details, for example, workflow data. Other default tabs are the Communication and History tabs. If you have administrator permissions, every asset page contains an Administration tab.

The title of an asset page consists of the icon for the asset type (1), the asset name (2) and the asset type (3). An asset page is divided into tabs (5), one of which is active at a given time (6). The "Asset menu" button (4) for the configuration of the asset page and the asset actions is on the right. Tabs show asset details in so-called widgets (7).

You can personalize asset pages in their workspace. Personalizations that a user carries out on an individual asset page, are applied to all asset pages of the same asset type. You reset your workspace, all personalizations are reverted to the default asset page settings.

Different information is shown depending on the asset type. The data shown is also dependent upon your user role, for example, editor, layout, photographer, marketing or product manager. You can then adjust the asset details and content view based on that. If you are mostly involved in planning, workflow information would be relevant to you, for example. If you work with texts, you may want to know when the text was last edited. If you work with layouts, it may be important for you to see information about which assets - images or texts, for instance - are related to a layout. As a result, you can adjust the rights for an asset page depending on each asset type. You can add or remove tabs and widgets as well as configure widgets for displaying certain details.

Open asset in an asset page

To open an asset in an asset page, do one of the following:

  • Double-click the entry of an asset list

  • Move the cursor over an entry of an asset list, and click .

  • Open the actions menu ( ) of a list entry, and select  Open.

  • Click a link in a widget that points to an asset.

Initially, the asset opens in read mode. If another user edits the asset you are currently viewing, the asset is marked as locked (  ). If the asset you open is marked for deletion, an  icon displays next to the asset name. Assets that are locked or marked for deletion cannot be edited.

Asset properties

Asset properties are specifications, descriptions, and other metadata that describe the asset. All asset properties are shown in widgets. You can edit asset properties of a widget, or add properties if the widget allows that. Some properties that display in a widget cannot be edited. For example, the creation date and modification date are set automatically and cannot be changed.

There are two types of asset properties:

  • Generic asset properties are common to all asset types. For example, the asset name, creation date, workflow step, workflow target, and keywords. To edit the generic asset properties, edit the  Properties widget (the name of this widget can vary) or open the page actions menu (  ) at the top right of the page and select  Edit properties.

  • Specific asset properties can only be added to a specific asset type. For example, image metadata such as aperture, resolution, and color space. To edit specific asset properties, edit the respective widget.

Related assets

Asset relations show structural and semantic information between assets. On an asset page, relations are shown in widgets:

  • Related assets widgets show lists of related assets for one or multiple relation types.

  • Table widgets show hierarchical asset structures with additional asset details of the related assets.

  • The  Show related assets action is available in the page actions menu (  ) at the top right of the asset page and shows a list of all related assets of the current asset, grouped by relation types.

Asset content

Assets that represent image, a text, layout, video, etc. have an attached file (also called the storage item) This file is the content of an asset. The asset content is stored in the master file. Additionally, one or more automatically generated files can be attached. These files represent variant of the master file, for example, different image ratios, or different video resolutions.

On an asset page of assets with content, you find the following widgets:

  • The  Files widget shows the master file and additional files (if available). You can download the file to your computer, or upload and replace the master file.

  • The  Preview widget shows a preview of the attached file. In the standard workspace, previews are available for Images, Videos, 3D models, XML files, PDFs, layouts (Adobe InDesign), spreadsheets (Microsoft Excel), presentations (Microsoft Powerpoint).

  • The  Editor widget allows you to edit an attached file directly in censhare Web. Editors are available for plain XML files, text files (XML), images, layouts.

Personalize asset pages

You can customize asset pages in your personal workspace. Any customization that you carry out on an individual asset page are applied to asset pages of the same asset type.

The following customizations are available:

  • Resize widgets:  With the cursor, click and drag the bottom right corner of a widget. If you release the mouse button, the widget snaps into the nearest possible position. The remaining widgets are reordered automatically.

    Reorder widgets on a tab:  With the cursor, click and drag the header of the widget to the desired position. If you release the mouse button, the widget snaps into the desired position. The remaining widgets are reordered automatically.

  • Add a new widget to a tab:  Open the page actions menu (  ) and select  Add widget. The dialog shows all pre-configured widgets that are available for the current asset page. Select the desired widget and click OK to close the dialog and place the widget.

  • Add a new tab to a page:  Open the page actions menu (  ) and select  Manage tabs. In the dialog, click Add tab and enter a name. Use the drag handle (  ) to move the tab to the desired position. Click OK to close the dialog and save your changes.

You can configure the widgets of the standard workspace, and widgets that you place on an asset page.

Asset page URLs

The URL of an asset page gives some information about the asset itself. The URL is built according to the following pattern:

https://[base_url]/[asset_type]/[asset_id]

You can type the URL in your browser address field, or create a deep link from other documents or web pages to an asset. If you do not know the  asset type, but only the  ID  of an asset, you can use the assetDefaultPage placeholder as follows:

https://[base_url]/assetDefaultPage/[asset_id]

censhare Web detects the asset type automatically and redirects it to the correct URL.

If you use the following URL instead, the asset opens in the default asset page:

https://[base_url]/asset/[asset_id]

The difference between the two methods is that the first detects the asset type and opens the asset in the corresponding page. The second shows the default page, which can have different tabs and widgets. For example, if you open an image with the first method, the asset page contains the image editor. With the second method, it does not, since the default asset page has no editors configured.
