The "Asset status" widget shows you the workflow status of an asset


Introduction

Workflows help you manage the work you do on assets. The current workflow step for an asset does not always show you the status of the workflow. Is it just starting? Is the progress much farther along? Or is the process already green because the workflow is already finished? For this reason a status is defined for every step within a workflow. It represents the workflow status of a selected asset.

Every workflow status can also be assigned a color for easier recognition. This is then also shown in the widget. A simple example of the different workflow statuses looks like this: "Currently editing" (red), "Final check" (yellow) and "Complete" (green).

The widget also shows you a preview of the asset if one is available. The workflow widget is responsible for displaying or changing the parameters of an asset's workflow. For more information on this see Workflows. For example, on the dashboard, you will see the current progress of the selected assets all in one view. Using drag and drop or an asset chooser dialog you can then select an asset for the widget in question.

You can use the "Asset status" widget on the home page. You have to create a separate widget for every asset whose status you would like to see. In order to see the status of other assets that are relevant to editing the current one, the widget can also be placed on other asset pages.

How to

To select an asset for the "Asset status" widget, drag the desired asset from the pinboard to the dotted area of the widget with the text "Drag asset here". As soon as the area changes color you can drop the asset. Alternatively, select an asset through an asset chooser dialog. Click with the cursor on the dotted area within the widget. An asset chooser dialog will open. Select the desired asset by clicking on it and confirm your choice with OK or close the dialog with CANCEL. 

Tip:  In order to place an asset using drag and drop you first need to place it on the pinboard. 

As long as no workflow and no workflow step is defined for the selected asset, you will see the message "No workflow is defined" in the bottom part of the widget window.

Tips for the settings

Using the "Open asset" button in the widget action bar you can then open the assigned asset in an asset page. Using the "Show asset preview" button next to that you can open the preview for the assigned asset. If you have assigned an asset to an asset status widget you can remove the asset using the widget action menu in the action bar. To do this, select the entry "Clear asset" in the action menu.

Tip:  The command "Clear asset" will be carried out without any confirmation step!

If you have removed the asset from the widget by mistake you can add it again at any time using drag and drop.

If no workflow step is currently defined for an asset you can also deactivate the asset status view. To do that go to the "Configure widget" entry in the widget action menu. In the "Asset state" section you can simply deactivate the check box in front of the workflow state entry. Confirm the change with OK or select CANCEL to exit the dialog without saving your changes.
