Asset life cycle management
Configure the heart of censhare, the censhare DAM and how users work with their assets.
censhare Digital Asset Management (DAM) centralizes and automates all tasks leaving your users free to focus on creating the optimal customer experience. With the asset lifecycle management, censhare provides rich options for ingesting, enriching, organizing, and archiving assets and product or marketing content.
Ingest and create assets — Configure asset creation, import, and file upload.
- Create asset types — Asset types organize assets in functional data groups with specific behavior and metadata.
- Configure file types — In this Master data table, you can add and manage asset file types.
- Duplicate asset structure automatic — Tips to avoid endless loops in the configuration.
- Use hash codes to avoid file duplicates — For each file censhare calculates and manages hash codes on the file system.
- Configure file upload for censhare Web — censhare chunks uploads for large files so that an interrupted upload can be resumed. Configure the upload settings and define default values for your network.
- Configure multi-thread file upload in censhare Client — Multi-thread upload allows parallel uploading of multiple files in the censhare Client (Java). It is recommended for remote server configurations.
- Configure asset import — Set up a server action to import single assets or entire structures from other systems.
- Hotfolder file and folder structures — Create file and folder structures for hotfolders. An XSLT-based import module.
- Attribute mapping for ingested data — Use Regular expressions, BeanShell scripts and SQL statements to map attributes.
- Merge assets — Combine assets and specify which features, relations or master files should be transferred to the selected target asset.
- Configure hotfolder actions — Hotfolder actions configure automated commands that handle files that are transferred to the censhare server. Hotfolder actions are specific for each module.
Enrich and manage assets — Create and manage asset properties. Configure how users can connect assets and see related asset.
- Manage asset properties - censhare Web
- Manage asset relationships — censhare allows users to represent relationships between assets as asset relations or asset references. Technical concept and comparison of relation types from the users' perspective. Configuration walk-through of relations and references.
Quality-check and process assets — Manage workflows, steps, and states. Check the quality and completeness of assets. Configure how users can update content.
- Workflows — A workflow is a series of predefined steps that reflect your work progress and helps users manage the work they do on assets.
- Configure approvals — Approvals are available for Projects, Products and Subjects. Responsible stakeholders can sign off their area of responsibility. This article explains how to configure approval types, user roles or team roles, and the dialogs for Approvals.
- Manage quality gates — Quality gates represent an achieved stage of a project or asset maturity. The quality gates that comprise the complete project implementation and asset lifecycle are represented in quality gate sequences.
- Working copies - configure release process — Working copies of assets provide an easy way for users to manage and update content that has already been released. As administrator, you provide configurations for creating and releasing working copies according to asset type and MIME type. You also define release scheduling.
- Working copies - customize with XSLT — Handle the whole process of creating and releasing working copies usingg XSLT, according to the features and relations that you define. A sample XSLT walk-through.
Share and distribute assets — Enable users to download content. Manage asset export.
- Set up E-mail links — Installation of the necessary XSLT extensions for censhare Web
- E-mail command — Import assets from defined e-mail addresses.
- Configure asset export — The asset export transfers assets or asset structures to other systems. You can define server actions for your use case that export all or part of certain asset structures. This is done by defining which relationships like relations or asset references to follow or exclude. There is a manual and an automatic server action.
- Export asset attributes — Export asset attributes to a table-based file. The attributes to be exported can be configured.
- Content Export 2 basics — Content Export 2 offers a very flexible and powerful way to export data and hand it over to other systems or applications.
- Configure download URL — censhare Web allows users to share asset files via landing pages and download links with users without access to your censhare system. Configure the download URL for this action.
- Configure dynamic download formats — When users share or download asset files, they often need different file formats. For example, different image sizes or resolutions. With dynamic download formats, you can provide different formats on-demand without a physical storage item.
Store and retire assets — Delete assets and asset versions.
- Asset Deletion 3 — Asset deletion 3 executes clean-up actions in asset versions that are no longer needed. It defines policies and constraints. The policies are set in the censhare Admin Client based on asset type and domains.
- Asset Deletion 1 — Asset Deletion 1 is deactivated by default.
- Compare Asset Deletion 1, 2 & 3 — Asset deletion 3 is the successor of Asset Deletion 1 and 2 for deleting asset versions and asset files. It combines the advantages of the previous types. Find out about the differences between the three types.
- Move asset content to new asset version — Convert the XML content of an asset version via XSLT into a new asset version.
