Bulk-edit with the wizard

Edit properties of up to 2000 assets at a time and let the task tun in the background.

Context

The Bulk operation wizard is available on asset lists.

Prerequisites

You need a valid license to use the Bulk operation wizard.

Introduction

Editing multiple assets was restricted to 100 assets in the Mass edit wizard. For large data updates and editing, for example in a Product information management (PIM) system, the Bulk operation wizard was implemented.

The Bulk operation wizard allows you to edit up to 2000 assets at a time. For example, you want to set the workflow step of product assets from "in review" to "finished". You can also add up to 200 assets to the favorites or watchlist with the Bulk operation wizard.

To edit the asset properties or add the assets to the favorites or watchlist, you have to execute a search first. On the search page, use filters to narrow down your selection if you wish. If you have done the selection, start the Bulk operation wizard from the page actions menu. The first step of the Bulk operation wizard lets you to refine your selection. You can deselect individual assets that you do not want to edit.

To edit asset properties, you have to select a dialog group that contains the respective properties, for example, the "Workflow" dialog group that contains the "Workflow", "Step" and "Assigned to" properties. In the next step, the wizard shows all properties from the selected dialog group. Enter the values that you want to edit and start the execution. The execution can take a while. You can work on other assets while the wizard executes the bulk operation in the background. You can switch back to it at any time. When the bulk operation wizard processed all assets, it shows the status in the last step.

To add assets to the favorites or watchlist, select the desired action in the wizard and start the execution. censhare executes the "Add to favorites" and "Add to watchlist" actions immediately. There are no further steps necessary.

Bulk-edit assets

To edit asset properties or add assets to the favorites and watchlist, proceed as follows:

  1. Search for the assets you want to edit. For more information about the different search options in censhare Web see  Searching for assets in censhare Web.

  2. To start the Bulk operation wizard, open the page actions menu and select the menu item "Bulk operation wizard":

  3. Choose assets:  To deselect an asset, remove the check from the checkbox of the respective entry. To deselect all assets, remove the check from the checkbox in the table header. You can then select the assets that you want to edit. To proceed, click NEXT.

    Note:  The "Edit multiple assets" action is limited to 2.000 assets. The "Add to favorites" and "Add to watchlist" actions are limited to 200 assets each. If your selection contains more assets, adjust your selection, or cancel the wizard and start a new search.

  4. Choose actions:  In this step, select whether you want to edit asset properties of the selected assets or add the assets to the favorites or watchlist.

  5. If you select the "Add to favorites" action or "Add to watchlist" action, click NEXT to execute the operation. The next step of the wizard shows the status of the operation.

  6. If you select "Edit multiple assets" action, click NEXT to proceed.

    Choose dialog groups:  This step shows all dialog groups that are available for bulk editing. The available dialog groups vary depending in the selected asset type and the configuration of your system. A dialog group contains a set of properties. To proceed, click NEXT.

  7. Set properties:  This step shows all properties that you can edit in the selected dialog group. Enter the new values in the respective fields. Any value that you enter in a field is applied to all selected assets and overwrites the existing value. censhare indicates the existing values in the properties fields of the selected assets:

    • A property has the same value in all selected assets:  The field displays the value. For example, the "Product category" field displays "Home appliances".

    • A property is empty in all selected assets:  The field displays the placeholder text. For example, the "Category" field displays "Select a category" or the "URL field displays "URL".

    • A property has different values in the selected assets:  The field displays "Different values". For example, the "Retail price" field displays "Different values".

    To execute the operation, click NEXT. The operation can take while. You can work on other assets while censhare updates the asset properties.

  8. Status:  When censhare finishes the operation, the status shows how many assets were updated successfully and how many assets failed to update:

    To exit and close the Bulk operation wizard, click DONE.

Result

The selected assets were updated or added to the favorites or watchlist.
