Edit user profile

Manage your personal data, profile picture and define, which of your data you want to share in censhare. You can access your personal profile in the user menu.

Introduction

When a user is added to censhare, the system creates a Person asset that stores personal data. You can access this asset in the user menu in the top navigation. Click your user name and select the "Show profile" menu item. Your person asset opens in a new asset page. The asset shows personal data as well as asset relations to your organization and to your work. For example, your tasks, themes, assets for which you are the author, calendars or contracts. This article describes the widgets and tabs available in the person asset of the censhare standard configuration. Depending on your system configuration, the available widgets and tabs can vary.

The data protection options described in this article are only available if the Person asset is associated with a user account. In censhare, there are also non-user-related Person assets. For these, the data protection options are not available.

Personal data protection

In your person asset, censhare stores personal data that fall under the EU's General data protection regulation (GPDR). By default, these data are hidden from other users. For example, if another user searches for your name and opens your person asset, these data are not shown. If other assets or widgets retrieve data from your person asset, these data are not shown. For example, in the "Upcoming birthdays" widget, your birthday does not appear if you did not allow the sharing of your personal data.

In your person asset, widgets that contain personal data that fall under the EU's General data protection regulation (GPDR) are marked with an icon:

Assigned preview

In this widget, you can add or change your profile picture. The profile image is displayed in the top navigation on the right with your name. You and other users will see the profile image as a preview image for your “Person” asset in asset lists or in the asset chooser dialog as well as in the "Birthday” widget. To upload a profile image, drag and drop the desired file to the “Assigned preview” widget. Alternatively, you can upload an image using the operating system’s file selection dialog. Enter and edit your contact data.

These fields are optional. You organization may want you to fill out these fields or do that for you. You can always control the visibility of these data.

Employed at

Shows Company assets that are assigned to you. The company in this widget is represented by an asset relation and independent from the asset property you enter in the "Person" widget.

Departments

Shows "Department" assets that you are assigned to. Departments represent as well teams and are used for  Team workload planning. The department in this widget is represented by an asset relation and independent from the asset property you enter in the "Person" widget.

Open tasks

Shows assets that were assigned to you with a workflow and workflow step.

Author of

Shows assets that you have authored.

Social media

Shows other users that follow you and users that you are following. See also The "Community" tab.

Mentioned in

Shows assets in which you are mentioned in the asset content.

Default availability calendar

Shows your availability calendar. If no calendar is shown here, click the "+" button to assign an availability calendar. Create a new availability calendar asset or select an existing availability calendar asset. Your calendar settings are used to plan and calculate team availability."
The calendar is used to calculate dates, durations and dependencies in projects.

Circles

Shows temporary and permanent working groups that you were assigned to.

Resource

In this widget you have the option of defining your settings for holidays. From the list, select the country, state or region for which you would like to select holidays. Holidays are shown in the “Team capacity” widget and used in the team planning process. For more information see the section "Defining holidays and regions" in the article Team workload planning.

Shows target groups that you were added to. To add yourself to a target group, click the "+" button in the widget header.

Media tab

This tab is part of the default asset page. It shows media assets related to the current asset.
