Upload files & create assets

We show you the different ways to create assets. Choose the appropriate option for your needs.

Prerequisites

Any user with the respective permission can create new assets.
To be able to create an asset via upload, for example a picture, users need the permission keys to "create and change assets" in their default role. If these permissions are set in sub-roles, users cannot upload files.

Introduction

Assets are the resources that you store in censhare. A resource can be a file (for example an image), but also a set of data (for example product specifications). Assets are enriched with metadata (asset properties). For example: keywords, workflow data, publication data.

How to create new assets

censhare provides different ways to create new assets, depending on the type of asset that you want to add, and the context in which you add an asset.

  1. Create assets from templates

For example, to add an image and create an approval task for that image, you can follow these steps:

1. Create a new  Image  asset.

1. Drag and drop the image file onto the censhare Web user interface. censhare uploads the image and creates a new  Image  asset.

2. Upload the image file to the asset.

2. Open the new asset and a new task in the  Tasks  widget. censhare creates a new Task asset and the asset relation between the image and the task.

3. Create a new  Task  asset.


4. Add an asset relation between the  Image  asset and  Task  asset.


Where to create new assets

To create a new asset, censhare Web provides the following options:

  • Create asset dialog:  This dialog in the Top navigation is available in any context. Click  Create asset  in the Top navigation and fill in the required and optional fields. 

  • Upload & edit wizard:  On the Dashboard of the censhare Dedicated solutions, you can upload media files and create assets with the Upload & edit wizard. 

  • Asset Chooser:  In the Asset chooser, you can add a new asset and create an asset relation to the asset that is currently open in an asset page or selected in an asset list. 

  • Asset picker:  If an asset picker is configured, you can add a new empty asset and create an asset relation to the asset that is currently open in an asset page or selected in an asset list. The Asset Picker is a more basic Asset Chooser. 

Drop zones

You can simply and conveniently drag and drop files from your computer to censhare Web. censhare automatically creates an assets from the file with the appropriate asset type and stores the asset in censhare. For example, add images, spreadsheets, or PDFs in this way.

The Top navigation is a drop zone to drag and drop your files onto. Other drop zones are available in the Asset chooser, in Relation widgets, and in the Upload & edit wizard.

Quarantine Area for new assets

Depending on your system configuration, i.a., your domain, your permissions, etc., some or all assets created by you, may be moved to the quarantine area upon creation. This means that:

  • Someone needs to verify your assets, e.g., if all required metadata is correct and appropriate. Which users can do this, can be configured by the censhare system administrator. 
  • Before this verification happens, the assets will be hidden from the majority of users, including yourself.
  • Once they are verified, they will re-appeared in the Last created tab normally.

Since quarantined assets are not visible to you immediately upon creation, you may want to keep an eye on the upload progress notification in the top right corner. Make sure it has turned green. This would mean the assets were uploaded successfully.
