The Projects page shows a hierarchical table of all projects in your organization. The columns display campaign details like deadlines and workflow steps. In a second table, projects owned by you are shown with their current approval state.

Introduction

The censhare dedicated solutions come with enhanced project management tools. The Projects page is the entry point, where marketing and project managers can view and access their projects and campaigns. Projects are special types of assets with an integrated Project editor. The Project editor shows a timeline and a list of tasks and child projects.

The left widget of the Projects page lists all projects in your organization. You can expand projects and see child assets. For example, Tactics and child projects. The table columns display further details, such as the deadline, workflow step, and workflow state of a project.

When you are assigned to a project team, it also displays in the right widget of the Projects page. The table here displays the budget, KPIs and approval status of your projects.

The Status tab of the page shows workflow states and quality levels of your campaigns.

The Performance tab of the page shows a report of your best-performing campaigns.

The Orders tab of the page helps you to keep track of translation projects.

Projects widget

This widget provides an overview of all projects in your organization. Projects that have child projects can be expanded to display also the child assets. The table columns show the basic project information:

  • Type: Besides the generic Project asset type, there are Campaigns, Tactics, Briefings, Task lists, Orders, and Marketing plans.

  • Deadline: If defined, the project deadline displays here.

  • Workflow and workflow step: Displays workflows and workflow steps of the project. Expand the list to see the workflow and workflow steps of child campaigns.

  • Generic asset properties

In the left widget, you can do the following:

  • Filter by creator: By default, the table shows all projects. To show only projects you created, select me in the Created by field.

  • Search a project: Enter the name of a project in the Filter results field.

  • Expand a project: To see child projects, click .

  • Access a project: Double-click the desired project or child project. The project opens in a new page. On the Project asset page, you can edit budgets, assign persons, events, content and media assets. You can plan and track times. For more information, see Project management with the Project editor.

My projects widget

This widget provides a convenient view of projects to which you are assigned as a team member. The table columns show a simple traffic light status of the following parameters:

  • Budget: The traffic light shows the budget performance according to the thresholds defined in your system. A yellow light indicates that there is a risk of not matching the budget. A red light indicates that the project is over budget.

  • KPIs: The traffic light shows the goal achievement according to the thresholds defined in your system. A yellow light indicates that some goals were not achieved. A red light indicates that a considerable number of goals were not achieved.

  • Schedule: The traffic light shows a yellow alert if the project is not finished close to the deadline. The traffic light shows a red warning if the project is not finished at the deadline.

Note: To change the thresholds for the alerts and warnings, you need permissions for the System asset. For more information, see The System asset (2019.3).

If you have different roles in your organization, you can group the list by roles. The grouping shows for example, whether you are assigned as project manager, project specialist, or with any other role.

  • Filter by status: By default, the table shows open and completed projects. For a more convenient view, select open or completed in the Status field.

  • Search a project: Enter the name of a project in the Filter results field.

  • Access a project: Double-click the desired project. The project opens on a new page. On the project asset page, you can edit budgets, assign persons, events, content and media assets, plan and track times.

Status tab

Workflow view

The Workflow view shows a Kanban board with the asset status of your articles. You change the status of an article by dragging and dropping it from one column to another in the board. For more information, see Kanban board - manage publication cycles.

Quality view

Quality gates represent a sequence of quality levels that show you at a glance the completeness and readiness of your articles in production and for publication. For more information, see Working with quality gates.

Performance tab

The Performance tab shows a chart of the best performing campaigns, based on views in all channels.

Translation orders tab

Translations of your product information and content require further project management. Translation projects that involve third-party translation providers are processed in a special asset type. The Translation order asset type stores metadata, status information, and references the text assets to be translated. The Translation orders tab shows all translation orders in your system.

The table columns show the essential details of a translation order: Workflow step, modification date, total characters and words.

In the Translation orders tab, you can sort, find, and access translation orders.
