Easily edit the properties of assets either directly on the widgets or in specific dialogs.


Your first user journey

Prerequisites

The properties that are displayed, depend on the asset type and on the widget configuration of the asset page.

Introduction

The workflows are available in censhare Web, from the Property widgets of an open asset page or via the page actions menu.

In censhare Web, asset properties are displayed on different widgets and tabs of an asset page. Each Property asset shows a group of asset properties. For an image asset, for example, properties on file type, size and resolution can be displayed on the Properties widget of the Overview tab. General information like name, domain and status is displayed on the General tab of the Details page.

The Properties widget has two modes - when the widget is placed on an asset page, you see the display mode. By default, the display mode shows only properties that have a value. Properties that are empty are not shown. To display empty properties as well, you can switch on the Show empty properties toggle at the bottom of the widget. With this option, you see all editable properties of a widget. For this option, the Show empty properties toggle must be enabled in the widget configuration. If Inline editing is enabled, all properties can be edited directly in the display mode.

When you click  at the top right of a Properties widget, the Edit dialog opens. In this dialog, you can add, delete or change the values of the properties. However, it is possible that a Properties widget only shows a property in the display mode that cannot be edited in edit mode.

Dialog validation

In the Edit dialog, you see an Invalid value notification if the selected value must not be used for the domains (first and/or second domain) of the asset that you are currently editing. For example, if you move an asset from the domain "France" to the domain "Italy", the validation checks the values of the content language property. If the content language is set to "French", the Invalid value message is shown to alert you that the value should be changed. However, you can still save the asset with the invalid value.

The validation can be active for the first domain (also called Main domain or simply Domain), and/or for the second domain. If the validation of a property is configured for both domains, censhare cross-checks with both domains of the asset.

The validation is only available in the Edit properties dialog of an asset page or Properties widget, not with Inline editing.

Editing options 

You can edit individual properties of a single asset in several ways:

Do not edit the same asset in different browser windows or tabs simultaneously. This is not supported as it may cause problems and lead to inconsistent data and data display.

The Edit properties page action

The Edit properties page action opens a dialog that allows you to edit the generic and specific properties of an asset. The generic properties comprise the asset name, description, type, domain, category and language.

The specific properties vary depending on the asset type. The available fields in the Edit properties dialog use the dialog elements from the properties widgets on an asset page. Thus, you can edit all relevant asset properties in the Edit properties dialog.

As in widget dialogs, a validation can be enabled for some properties. For example, the validation checks the Asset type and Language properties. If the dialog shows an Invalid value notification, the domain of the respective value does not correspond to the domain of the asset. This can happen, for example, if an asset is moved to another domain. For more information, see Dialog validation.

The Edit properties dialog is available on asset pages and in asset lists. To open the dialog, do the following

  1. Open the asset or select the asset that you want to edit from a list.

  2. Open the asset page actions menu (  ) and select Edit properties. In asset lists, move the cursor over the desired asset entry to show the icon.

  3. The dialog opens in a new layer. The dialog groups (generic properties, and the respective specific properties) are displayed in tabs.

  4. Select the desired tab and edit the properties:

    • To change or add a property, click the Drop-Down button in the entry field of the respective property and select a value from the list.

    • To delete a property, click the button at the end of an entry field.

    • Enter or update the values in free-text fields.

  5. Confirm your changes with OK.

The properties and property values of the selected asset are updated and display in the respective widgets on the asset page.

Edit properties of a widget

Widgets display one or several groups of properties. For example, generic properties, usage rights properties, image metadata, etc. You can edit the properties of a widget separately.

The editing functionality in widgets is enabled by default. The Edit properties dialog shows all editable properties of a widget in a separate layer. The dialog also shows inherited properties, child properties and properties to which you can add multiple values.

Notes:

Notes

(1) Some properties that are displayed in the widget may not be editable and therefore do not appear in the Edit properties dialog. These properties are set automatically or you need special permissions to edit them.

(2) The widget does not show properties that are editable but empty. Therefore, switch on the Show empty properties toggle to see, which properties are defined in the widget but have no value to be displayed.

(3) If validation is enabled for value lists, you see an Invalid value notification if the domain of a value does not correspond to the domain of the asset. This can happen, for example, if an asset is moved to another domain.


To open the Edit properties dialog of a Properties widget:

  1. Click the "Edit properties"  icon at the top right of the widget. The "Edit properties" widget is displayed.

  2. Edit the properties as needed:

    • To change or add a property, click the Drop-Down icon in the entry field of the respective property and select a value from the list.

    • To delete a property, click the button at the end of an entry field.

    • Enter or update the values in free-text fields.

  3. Confirm your changes with OK.

The properties are updated and displayed on the widget.

Inline-edit properties of a widget

  1. Click the respective value. The value field is highlighted in grey and the "Edit properties"  icon is displayed. If the field is not highlighted/pencil button is not displayed, the property cannot be edited here.

  2. Click Edit icon. The asset is checked out and locked for other users. The value becomes editable and the current value is highlighted. You are now able to edit and delete the value.

  3. To edit any property values for assets displayed on the product properties widget:

    1. Enter or select the new value. Entries are only allowed according to value type. For instance, in a numerical field like "Width", you can only enter digits and no letters. For values containing units, you are able to select a different unit. For instance, you can change centimeters to millimeters.

    2. Press ENTER or click anywhere outside the entry field to confirm your changes. The value is updated and saved locally.

    3. Click SAVE to permanently save your edits and update the asset. The asset is updated with our edits and checked in again.

    4. Repeat steps 1-5 for as many values as you like on the assets displayed on the product property widget. Note that you can only edit one value at a time.

    With SAVE, all your edits are saved permanently and the edited assets are checked in again.
