Asset types
Group | Use this asset to organize and group your assets. You can use Group assets in the same way as folders on your desktop. Other than these, they do not represent a physical storage place for assets. One asset can belong to multiple Groups. |
---|---|
Document | When you upload a document (MS Word, PDF, OpenOffice Document), censhare creates a Document asset. In censhare Web, you can preview the document. The content of documents is indexed and searchable in censhare Web. |
Spreadsheet | When you upload a spreadsheet (MS Excel, Apple Numbers, OpenOffice Spreadsheet), censhare creates a Spreadsheet asset. In censhare Web, you can preview the spreadsheet. The content of spreadsheets is indexed and searchable in censhare Web. Special applications can import the data and create assets from spreadsheets. |
Presentation | When you upload a presentation (MS Powerpoint, Apple Keynote, OpenOffice Presentation), censhare creates a Presentation asset. In censhare Web, you can preview the document. The content of presentations is indexed and searchable in censhare Web. |
Picture | When you upload an image file (Adobe Illustrator, Bitmap, EPS, GIF, PNG, JPG, PSD, SVG, TIF and others), censhare creates an Image asset. In censhare Web, you can preview the image. Depending on your system configuration, censhare automatically creates image variants. For example, different aspect rations or resolutions of an image. If you use the Google Cloud AI integration, censhare analyzes uploaded images. |
Video | When you upload a video file (AVI, DIVX, FLV, MOV, MP4, MPG, OGV, SWF, WMV and others), censhare creates a Video asset. In censhare Web, you can preview the image. Depending on your system configuration, censhare automatically creates image variants (for example different aspect rations or resolutions of an image. If you use the Google Cloud AI integration, censhare analyzes uploaded images. |
Audio | When you upload an audio file (MP3, MPEG-4 Audio, WAV, OGG, AIFF), censhare creates an Audio asset. In censhare Web, you can preview the image. Depending on your system configuration, censhare automatically creates image variants (for example different aspect rations or resolutions of an image. If you use the Google Cloud AI integration, censhare analyzes uploaded images. |
3D Model | When you upload a 3D model file (3DS, AWD, CAD, DWG, GLB, MAX, OBJ, STP and others), censhare creates a 3D model asset. In censhare Web, you can zoom and rotate 3D model previews. For more information, see Interactive asset previews for 3D models. |
Domains
Media | This domain stores all production assets (images, documents, etc.). This is your working domain. There can be child domains for special purposes. For example: Media / Magazines and Media / Catalogs. |
---|---|
Common | This domain stores non-production assets that are shared between all users. For example: Keywords, Categories, communication assets. |
Common resources | Only available to Solution administrators. This domain stores non-production resources that provide system-wide functionality. For example: Features, Feature items, Quality gates, Workspace configurations. |
Work on assets
Overview tab
Preview
The Preview shows the master asset file. You view images, watch videos, listen to audio files, rotate 3D models, and browse through documents.
Edit tab
In this tab, you can edit the generic asset properties (for example: content language) and specific asset properties (for example: image metadata). For some media files, censhare Web comes with an integrated editor (for example: image editor). The integrated editors allow some basic editing of the asset files (for example: image cropping).
This tab is only visible to Specialists and Solution administrators.
Analyses
If configured in your system, censhare analyzes images and videos automatically. The analyses are done with Google Cloud AI. The analyses create keywords, find matching and similar web content, and transcribe speech from videos into text.
If an uploaded image or video has not been analyzed yet, you can start the analysis manually in the Analysis tab. Results are shown in the same tab. Keywords from automatic analysis are also shown in the Taxonomy.
This tab is only visible to Specialists and Solution administrators.
Usage tab
Context
The Context table shows the relations of the current asset:
Any assignments (generic relations) of the current asset. For example Groups to which the current asset belongs.
Tasks that are related to the current assets.
Other assets to which the current asset is assigned as Main media file (image, video, audio).
You can filter the displayed context of the table using the filter options in the toolbar.
Usage right properties
Usage rights can be set to indicate that an asset can only be published on certain channels, only internally, or cannot be used at all. Usage rights can be restricted for legal or licensing reasons.
If you set the usage rights of an asset, always enter a reason in the Description field. Alternatively, you can assign a pre-defined Usage rights set.
Team
The Team tab shows persons who are assigned to the asset with a specific team role. Team roles can be assigned to you in the context of an asset. Other than user roles, team roles are flexible and do not add or remove any permissions. That means, you can have different team roles for different assets at the same time. The Team role does not change what you see, and which actions you can execute.
Communication tab
Annotations
In the Annotation pane, you can add any comment that is related to the asset file. In images, mark the area that you want to comment. In audio files or videos, set a start and end time that your comment refers to.
All annotations related to the asset file can be viewed in the Markers tab in the right column.
Communication
Communications can be any comments or tasks related to the asset. In Communications, you can add links to other assets, or hash tags to set a topic. A more detailed view of the tasks related to the current asset is also shown in the Tasks tab.
Markers
The Markers tab shows all Annotations related to the asset file.
Tasks
The Tasks tab shows all tasks that are related to the current asset.
Tasks can be created in the Communication tab. These tasks are automatically related to the current assets.
Approvals
Approvals are a tool that gives you more control over the production cycle of your assets. Approvals are independent from the workflow step of an asset. That means, an approval can be given when an asset is in planning (for example, budget approval), or when an asset is in production (for example, creative approval).
There are no default approvals configured in the standard product, since they depend much on the use case. When your basic DAM system is set up, approvals are added. If you are a solution administrator, you can add, change or remove approvals.
For more information, see Approvals_user.

Result
You have an overview of the simple DAM workspace of censhare Web. You know which asset pages you can access, and which actions you can execute. You know that the asset pages you can access, and the actions you can execute depend on you user role and the associated permissions.
