Working with assets in Marmind UI

How to work with media assets attached to Marmind objects.

In this article, you will learn how to work with the Censhare assets in Marmind.

Brief overview of the Marmind UI

The Marmind UI includes a tree view for displaying the objects and their hierachies and a module view for actually working with those objects. In Marmind, you first select the required object in the tree view, e.g., a campaign, and then select a module, e.g., calender, to proceed with your tasks.

For working with assets, you should open the Assets module.

Adding assets to an object in Marmind

Assets can be added from pretty much everywhere in Marmind, by using the “Add asset” button on the top. It offers a few options. Below we describe those that are part of the integration.

”Add from Censhare”: add existing assets

For this option, Censhare assets are retrieved by the HCMS Content Picker. You can add assets that have been previously uploaded to Censhare or Marmind, as they are all stored in Censhare.

Access restrictions

Which assets are visible to you, is defined by the permissions assigned to your user in Censhare and not Marmind. Optionally, this can be further restricted by a filter in the Marmind integration configuration (in the Admin Client) or by an HCMS schema (see developer documentation).

Searching for assets to select

Content Picker UI offers a few filters:

  • the text filter: the 🔍 icon

  • the MIME type (called Media type) filter: the funnel icon

You can change the view or sort the list of assets for your convenience. Options can be found under the three-dot menu on the right.

After selecting the asset, you can preview its data before adding it to Marmind. For this, you need to click on the https://censhareinfohub.atlassian.net/wiki/s/-505230918/6452/267b0663176c4f8787189805bf0a33b7c6d3998e/_/images/icons/emoticons/information.png button or the arrow button (depends on the window size).

The asset data preview shows limited asset metadata. Complete asset metadata can be viewed in Censhare.

Where to find added assets in Marmind

After you click on the “Select” button in the Content Picker dialogue, the dialogue will be closed, and you will get back to the previous page. To check your assets, stay on the same node in the object tree and click on the “Assets” module.

“Upload new”: Upload new assets through Marmind

This option will upload assets to both systems as they use a shared DAM.

You can upload multiple assets at once.

Duplicate check (against Censhare DAM)

As part of the upload, the integration will run a native Censhare duplicate check and, in case of duplicates, will ask you to confirm which file to use.

The following won‘t be recognized as duplicates and won‘t show in the duplicates list:

  • cropped images (of already stored images)

  • images that used to be versions of the existing assets

By clicking on “Open”, you can open the duplicate asset page in Censhare.

At this stage, you may not be able to see previews of all duplicates. What you see, is also governed by your permissions in the Censhare system. For duplicates, that are not on your domain, you will only see the title.

Assigned Censhare domains

When you upload any assets in Marmind, they will be by default assigned to the domain of your Censhare user.

By default, uploaded assets will be assigned the asset tag and the SYNC2CENSHARE. You do not need to assign or change anything here.

Asset page in Marmind

Marmind UI also has an asset page. You can access it from everywhere in Marmind where you see the asset, e.g., from the Assets module.

Here you can find some basic information. On the Censhare tab, you will see entries that are synched with Censhare.

You can also open the same asset in Censhare DAM directly using the “Open in Censhare” button on in the top right corner.

Editing asset

For now, you can only edit the name of the asset from Marmind.

This will be automatically synched to Censhare and immediately visible on the asset.

All other information, i.e., anything you add in Marmind – asset description, annotation (comments), brand guidelines, etc. - is not synched to Censhare.

Asset versions and asset history

Changes done in Marmind will appear as asset versions in the asset history in Censhare, including replacements of the asset master file. Such changes are shown as done by a system user.

In Marmind, only changes in the media file are shown as versions, that‘s why you won‘t see all changes done on the asset. For the full history, you will need to go to the asset page in Censhare.

Deleting assets

For now, it is not possible to delete (Censhare) assets using the Marmind UI. When you delete an asset in Marmind, you only remove the reference to it (“soft-delete”). The asset itself will be kept in Censhare.

To do so, you need to open the “Assets” module (or any other view with an asset list), select the asset you want to soft-delete, and click on the trash icon on the top. If you do not see the delete option, then you are currently on the object in the object tree where your permissions are limited.
